Track screening in the worker record

Link screening orders and status to the worker checks your team selects in Wingspan. Candidates provide details and consent through the vendor's flow. Staff with the right access review full reports there.

See which checks remain open

Work templates set the checks needed for a role. One check can serve several linked jobs. Wingspan shows check status and readiness for those jobs. A finished report does not pass the check on its own. Review follows your team’s rules.

Keep screening and worker pay clear

Screening fees cover the vendor’s service. Worker pay covers work. Those costs stay separate. Wingspan tracks work review, amounts owed, and payment approval. Bank and tax records stay apart from screening reports.

How First Advantage works with Wingspan

First Advantage runs background checks for hiring teams. It owns Sterling. Their products keep their own flows and terms. Sharing a brand does not mean each product uses the same system.

Wingspan manages worker records, required checks, and pay. Each worker record is called a payee. Worker types include Contractor and W-2. An engagement is a reusable work template. An assignment links one worker to that template. We call that assignment a job here.

This link sends screening status to selected checks in Wingspan. One check can serve several linked jobs. A finished report means the searches are done. Findings and your team’s review are distinct steps. Each job must meet all its check rules before it is ready for pay. Readiness does not approve work or pay. Screening fees stay separate from worker pay.

Start with the records you already use

A group of checks, such as criminal searches or drug tests.

Client Matrix Application (CMA) score

Fulfillment note
A note about search progress or needed details in the screening service.

Candidates

Worker records (payees)

Reference or reporting

Candidate IDs link screening records to selected worker records in Wingspan. Creating a worker and sending an invite are distinct steps. Each worker keeps their Contractor or W-2 type. This link does not turn a screening candidate into a worker.

Screening orders

Requirements

First Advantage to Wingspan

A placed screening order links to a selected required check in Wingspan. Your team places the order in the screening service and tracks its progress on that check. One check can serve several linked jobs. Your work template sets the required checks for those jobs.

Screening packages

Requirement definitions

Reference or reporting

Packages list the searches the vendor runs. Your team uses the package scope to choose checks and review rules for Wingspan work templates. Check definitions hold those rules for the selected work.

Order invites and consent

Selected worker checks

Reference or reporting

Candidates give consent through the vendor's invitation flow. Invites and signed forms provide context for the linked worker check. Wingspan tracks screening status, and your team reviews the findings before the check passes.

Screening status and report items

Requirements

First Advantage to Wingspan

Screening progress and findings link to selected checks in Wingspan. A complete report means searches are done. Findings are distinct from your team’s review decision. Wingspan uses its own check rules to track status and readiness for each linked job.

CMA review outcomes (Sterling)

Check review context

Reference or reporting

CMA is a Sterling scoring tool. Its scores describe findings under the client’s rules. They help the team review a report. A vendor score does not set Wingspan review policy or clear every check. Wingspan applies its own check rules.

Authorized report references

Requirements

First Advantage to Wingspan

Report references attach to the checks your team selects in Wingspan. Staff with the right access open linked reports under the vendor's access rules.

Contractor screening portal (xtdforce)

Work templates and assignments

Reference or reporting

First Advantage xtdforce supports screening for contractor networks. Use its screening standards as context when choosing required checks for Wingspan work templates. Your team sets worker assignments and reviews work and payment approval separately.

Integration workflows

01

Track screening for a selected worker

Your team links a placed screening order to a worker check.

Your team selects the worker and required check in Wingspan. The worker record keeps its Contractor or W-2 type. Candidates give details and consent through the vendor's flow. Order status links to the selected check so your team can track progress. The check's rules guide review of the findings.

02

Review findings before clearing a check

A screening report finishes with findings that need review.

The report is complete, but the check still needs review. Staff with access open the report in the screening service. Your team follows its rules to review the findings. Wingspan tracks the check outcome under its own rules. Each linked job must also meet its other check rules. Clearing one check does not clear all work or approve pay.

03

Keep readiness separate from payment approval

A contractor submits a work log for an assignment.

Wingspan tracks the checks needed for that job. Readiness and work approval are distinct steps. Your team reviews and approves the contractor’s work log. This creates one amount owed. The contractor sees an invoice. Your team sees a payable. Finance gives separate payment approval before a contractor payroll run. W-2 pay uses pay statements and employee payroll runs with taxes withheld. Screening fees stay apart from both pay paths.

Plan your integration

Separate completion, findings, and review

Report completion means searches are done. It does not mean every finding meets your rules. Review follows the Wingspan check’s policy. Vendor scores, check status, and job readiness each have their own meaning. Work and payment approval are distinct steps.

Choose screening fields and report access

Candidates submit consent and details through the vendor's screening flow. Your integration links check status and report references to selected Wingspan checks. Staff opening linked reports follow the vendor's access rules. Define the screening fields and report access your reviewers need.

Keep vendor products and costs distinct

First Advantage and Sterling products use their own terms. CMA belongs to Sterling. xtdforce belongs to First Advantage. Screening fees pay for vendor services. They do not become Wingspan worker payables. Contractor pay and W-2 wages follow their own work and pay steps.

How the worker lifecycle fits

Connect worker records from hire to pay. Choose the Contractor or W-2 type and keep the right checks for each.

Workers and worker types
Candidate IDs link to selected worker records. Each worker record keeps its Contractor or W-2 type. Creating the worker is a separate step.
Engagements and assignments
Work templates set the checks needed for roles. Each job links a worker to a template. Screening records help your team choose the checks.
Requirements and eligibility
Screening status and review outcomes link to selected required checks. One check can serve several linked jobs. Check rules determine readiness for each job.
Work logs and approved work
Wingspan work logs track completed work. Your team reviews contractor work and approves payment in separate steps.
Payables
Screening fees are vendor costs. A Wingspan contractor invoice and payable are two views of one amount owed for work. W-2 wages use pay statements.
Client invoices
Client invoices bill your clients for services. They stay separate from screening costs and worker pay.
Payments and payouts
Screening is one part of the checks needed for a job. Meeting check rules does not approve pay. Finance gives separate payment approval before funds move.
Tax forms and reporting
Wingspan keeps worker tax forms separate from screening. Contractors complete forms such as Form W-9. W-2 workers complete payroll tax setup.
