Worker onboarding before work starts

Selected Airtable roster records start worker setup in Wingspan. An invite asks workers to upload the forms and files their assignment needs, such as tax forms, IDs, and insurance. Your team reviews these checks before work starts. Contractors use Form W-9, and W-2 employees use Form W-4.

From finished tasks to approved bills

Approved contractor tasks fill work logs or create direct payables. Choose one path for each cost. Approving a work log creates one amount owed. The contractor sees an invoice. Your team sees a payable. Finance gives separate payment approval. Task signoff does not send money.

See assignment and payment updates

Wingspan shares readiness and pay status in Airtable fields. Project leads see who is ready for each assignment. Your team chooses the status fields to share.

How Airtable works with Wingspan

Airtable tracks projects, tasks, and worker rosters. Wingspan manages worker records, checks, and pay. Each worker record is called a payee. Worker types include Contractor and W-2.

An engagement is a reusable work template. Each assignment links one worker to that template. The worker type sets the right terms and pay path. Creating a worker record and sending an invite are separate steps.

Approved contractor tasks fill work logs. Approving a log creates one amount owed. The contractor sees an invoice. Your team sees a payable. Finance gives separate payment approval. W-2 workers receive pay statements through employee payroll runs with tax withholding.

Client invoices stay separate from worker pay. Wingspan sends readiness and pay status to Airtable fields. Deposit confirmation means the sending bank finished processing. It does not prove the worker’s bank posted funds.

Sync options

Choose which tool holds each record. Set the changes that sync between them. Connect your records to the Wingspan workflows below.

Records in a worker roster table

Worker records (payees)

In both directions

Selected Airtable roster records sync to Wingspan worker records. Each record is called a payee. Keep each worker's Contractor or W-2 type. Creating a record and sending an invite are separate steps. Onboarding status flows back to Airtable.

Record (Deliverables Table: Approved Status)

Work logs and work items

Airtable to Wingspan

Approved contractor tasks fill work items in Wingspan. A work log groups them for one assignment. Approving it creates one amount owed. The contractor sees an invoice. Your team sees a payable. Finance gives separate payment approval. W-2 wages use employee payroll runs.

Record (Projects Table)

Engagement templates and assignments

In both directions

Project records in Airtable map to work templates in Wingspan. An engagement is a reusable work template. It holds rates and checks. Each worker assignment is an assignment under that template. One worker can have many assignments. Client projects map to client engagements. This keeps client terms separate from worker assignments.

Record (Payables Table / Currency Fields)

Payables

In both directions

Approved contractor tasks with known amounts create direct payables. A payable is an amount owed to a contractor. It is the payer view of the invoice. Use one path for each cost. Wingspan shares the payable ID and status with Airtable. Finance approves payment before a contractor payroll run pays it.

Record (Client Billing Table)

Client invoices and payers

Airtable to Wingspan

When you approve client project tasks in Airtable, Wingspan creates a draft client invoice. This client bill links to a client engagement. The client acts as the payer. Client bills are bills you send to clients. They stay separate from bills you owe workers. Client collections and worker pay use separate review steps.

Field (Payment Status Single Select)

Payment status and references

Wingspan to Airtable

Finance pays approved bills through a payroll run in Wingspan. The app updates status fields in Airtable. When the sending bank finishes processing, Wingspan marks the pay as deposit confirmed. This means the sending bank completed its step. It does not prove the worker’s bank posted funds yet. It also does not prove funds can be spent. Pay runs stay managed inside Wingspan.

Field (Compliance Readiness Single Select)

Requirements and eligibility

Wingspan to Airtable

Wingspan checks verify tax forms and insurance. The app updates readiness fields in Airtable for each worker assignment. Completing a check applies to one assignment. It does not grant clearance across all jobs. Contractors complete W-9 forms. W-2 employees complete W-4 forms. Managers see who is ready for work before assigning tasks.

Plan your integration

Airtable base setup and custom fields

Airtable bases differ across teams. You set up tables and fields for worker records, jobs, and rates. Linked records connect projects to workers. This structure aligns your base with Wingspan work templates. It also matches agreed rates on each rate card. Setting up clear fields keeps project data tidy.

Choose project fields and access

Choose the Airtable fields your project team needs for worker readiness and pay updates. Wingspan manages payment and tax records while Airtable tracks project tasks. Set access for the people using each base so your team has the right information for project work.

Choose sync timing and update groups

Choose when Airtable changes sync to Wingspan. Group approved tasks by worker assignment. Set how often roster and status fields update. Your team reviews changed records before payment. Clear timing keeps project and finance views aligned.
