Connect Google Workspace tools with worker operations

Connect Google Workspace with Wingspan to link worker records and project files. Invite workers to onboard. Share Google Drive folders for active assignments. Send approved sheet rows to Wingspan for work review. Contractor invoices and payables show one amount owed. Your team approves pay in a separate step. W-2 pay keeps its own payroll path.

Choose which records sync and when they move. Your team stays in control of work review and payment approval.

Coordinated directory accounts

A worker passes the required assignment checks in Wingspan. The sync creates or links the selected Google user account. Contractor or W-2 type stays on the Wingspan worker record. Your team chooses Google access rules for each group. A Google login does not grant access to Wingspan worker records.

Scoped project folder access

Assignment readiness in Wingspan guides Google Drive folder sharing. Your team chooses the project folders and access rules. When the assignment ends, the sync removes the selected folder access. Google permissions govern shared files. Wingspan roles still govern worker records.

Task sign-offs to contractor payables

Managers track project tasks in Google Sheets. Approved rows sync to Wingspan work items. A manager approves the contractor work log. This creates one amount owed. The worker sees an invoice. Your team sees a payable. For known amounts, use the direct payable path instead. Pick one path for each cost. Payer approval stays separate.

How Google Workspace works with Wingspan

Google Workspace manages user accounts, email, and files. Wingspan manages worker records, checks, work, and pay. A worker record is called a payee in the app. Each record keeps its Contractor or W-2 type.

Google logins and Wingspan worker records stay separate. Your team chooses when assignment readiness creates a Google account. Link Google Drive folders to selected assignments. Google rules govern folder sharing. Wingspan roles govern worker records.

Approved sheet rows sync to work items in Wingspan. Approving a contractor work log creates one amount owed. The worker sees an invoice. The payer sees a payable. Finance gives separate approval before pay. W-2 workers use pay statements and employee payroll with withholding.

Start with the records you already use

User
A Google login and email account. It has its own access and account status.
Organizational Unit
Groups Google user accounts to apply shared rules. Teams choose the groups for workers.
Custom User Attributes
Stores custom fields like worker IDs and completed check flags.
Files and Folders
Holds project files, work orders, and finished tasks.
Spreadsheets
Tracks project tasks and work logs. It also tracks manager sign-offs.

Sync options

Choose which tool holds each record. Set the changes that sync between them. Connect your records to the Wingspan workflows below.

User

Worker records (payees)

In both directions

Selected worker records in Wingspan link to Google user accounts. Each worker record keeps its Contractor or W-2 type. Your team chooses how Google groups and account status sync. A Google account is a login, not a Wingspan worker record. Wingspan access follows Wingspan roles and rules.

Files and Folders

Engagement templates and assignments

Google Workspace to Wingspan

Google Drive project folders provide work scope and file links. An engagement is a reusable work template in Wingspan. Each worker gets a separate assignment under it. Your team links the project folder to the chosen template or assignment. Folder sharing follows your Google rules.

Custom User Attributes (custom schema)

Requirements and eligibility

Wingspan to Google Workspace

Engagement templates set required checks. Wingspan tracks each worker check on the assignment. Contractors submit Form W-9. W-2 workers use their own hire forms. Selected readiness flags sync to custom Google user fields. Your team decides how those flags affect file access. Passing one assignment does not clear every assignment.

Spreadsheets

Work logs and work items

Google Workspace to Wingspan

Approved Google Sheets task rows sync as work items in Wingspan. A work log groups items for one assignment. A manager approves the contractor work log. Agreed rates set one amount owed. The worker sees an invoice. The payer sees a payable. Payer approval to pay stays separate.

Files and Folders

Payables

Google Workspace to Wingspan

Use approved Google Drive work files as context for contractor payables. For a known amount, create a direct payable. For tracked units, use work items and work log approval. Pick one path for each cost. The invoice and payable show one amount owed. Payer approval to pay remains a separate step.

Spreadsheets

Client invoices and payers

Reference or reporting

Billing rows in Google Sheets give context for client bills. In client billing, the client is the payer who pays you. Wingspan makes client invoices to bill customers. This process stays separate from contractor payables. Payables are bills you owe to workers. Sheet rows track client bills without mixing in worker pay.

Custom User Attributes (custom schema)

Payment status and references

Wingspan to Google Workspace

Selected payment status and reference fields sync to Google Workspace. Paid is a status in Wingspan. Deposit confirmed means the sending bank or provider finished processing. It does not prove the worker bank posted funds. Payment approval stays in Wingspan.

Integration workflows

01

Onboarding approval to Google Workspace accounts

A worker passes the selected assignment checks.

A worker adds the right forms in Wingspan. The record keeps its Contractor or W-2 type. Your team reviews assignment checks. The sync creates or links a Google user account. Your team chooses Google groups and project folder access. Google access does not grant access to Wingspan worker records.

02

Sheet task sign-off to contractor payment

A manager approves task rows in Google Sheets.

Approved task rows sync to a Wingspan work log. A manager reviews and approves contractor work. This creates one amount owed. The worker sees an invoice. The payer sees a payable. For known amounts, choose the direct payable path instead. Use one path for each cost. Finance gives separate payer approval. Selected payment updates sync to Sheets.

03

Assignment completion and access removal

A worker assignment ends in Wingspan.

When an assignment ends or your team closes it, the sync removes selected Google Drive folder access. Your Google admin chooses whether to suspend the user account. Expired checks can block access under separate rules. They do not close an assignment on their own. Past work and payment records remain available in Wingspan.

Plan your integration

Set Google access rules by worker group

Choose Google organizational units for worker groups. Each unit applies your Google rules for files and sign-in. Keep the Contractor or W-2 type on Wingspan worker records. Suspending a Google account is separate from moving it to a unit. Wingspan access follows Wingspan roles and rules.

Protecting sensitive banking and tax data

Choose which worker, readiness, and payment fields sync to Google Workspace. Set sharing rules for project folders and review who can access sensitive files. Access to Wingspan worker records follows Wingspan roles and rules.

Standardizing task approval sheets

Use clear column names and status lists in Google Sheets. Managers approve task rows before sync. Your team then approves contractor work logs in Wingspan. Pick work log approval or a direct payable for each cost. Payer approval to pay stays separate. W-2 pay keeps its own payroll path.

How the worker lifecycle fits
