Link approved milestones to worker pay

Approved ClickUp milestones sync to Wingspan. They turn into bills you owe for finished work. Your team skips manual spreadsheets. Finance approves each bill in Wingspan before adding it to a pay run.

Check worker readiness before scheduling work

Wingspan checks worker files on the work template. For contractors, this includes Form W-9, tax IDs, and insurance. Wingspan updates custom fields in ClickUp. Project leads see when a worker is ready for work before assigning tasks.

Track worker payment progress

ClickUp custom fields show pay updates for each task. Project leads see when finance approves a bill and when the sending bank processes pay.

How ClickUp works with Wingspan

ClickUp tracks tasks, milestones, and project lists. Wingspan manages worker records, checks, and pay. Each worker record is called a payee. Worker types include Contractor and W-2.

An engagement is a reusable work template. Each assignment links one worker to that template. The worker type sets the correct terms and pay path. Creating a worker record and sending an invite are separate steps.

Approved contractor tasks fill work logs. Approving a log creates one amount owed. The contractor sees an invoice. Your team sees a payable. Finance gives separate payment approval. W-2 workers receive pay statements through employee payroll runs with tax withholding.

ClickUp custom fields show readiness and payment status. Deposit confirmation means the sending bank finished processing. It does not prove the worker's bank posted funds.

Sync options

Choose which tool holds each record. Set the changes that sync between them. Connect your records to the Wingspan workflows below.

Task (Approved status)

Work logs and work items

ClickUp to Wingspan

When a lead approves a ClickUp task, the workflow creates a work item in a work log. This work log links to the worker assignment in Wingspan. In the app, a worker assignment is called an assignment. This records completed work before any bill forms. Task review stays separate from payment approval.

Milestone task

Work logs and work items

ClickUp to Wingspan

Approved contractor milestones supply work details or known amounts. Work details fill a work log. Known amounts create direct payables. Choose one path for each cost. Finance gives separate payment approval before money moves.

List or Folder

Engagement templates and assignments

In both directions

A ClickUp List or Folder maps to a work template in Wingspan. In the app, this is called an engagement. Individual worker placements map to worker assignments. In the app, these jobs are called assignments. Project leads track worker schedules and tasks in one clear view.

User or Guest

Worker records (payees)

ClickUp to Wingspan

Selected ClickUp users link to Wingspan worker records. Each record is called a payee. Keep each worker’s Contractor or W-2 type. A ClickUp guest account does not create a worker by itself. An invite starts onboarding. Required checks follow each assignment.

Custom fields (Payable ID and Amount)

Payables

In both directions

Contractor payables share IDs and amounts in ClickUp custom fields. A payable and an invoice are two views of one amount owed. The contractor sees an invoice. Your team sees a payable. Project leads track the record. Finance gives separate payment approval.

Custom fields (Payment Status)

Payment status and references

Wingspan to ClickUp

After a pay run in Wingspan, pay status updates ClickUp custom fields on the task. Deposit confirmation means the sending bank has processed the pay. It does not prove the worker's bank posted funds yet. Project leads see pay progress.

Custom fields (Compliance Readiness)

Requirements and eligibility

Wingspan to ClickUp

Engagement templates set required checks in Wingspan. Each assignment tracks the checks for one worker. Wingspan shares assignment readiness in ClickUp fields. A completed check on one job does not clear every job. Your team sees who is ready for that work.

Separate worker types and user seats

W-2 workers fill out tax forms and get paid through employee payroll runs. W-2 staff do not get contractor bills.
